Bank statement to Xero converters compared (2026): Xero's PDF import, Hubdoc and 4 converters
The main ways to get a PDF bank statement into Xero are Xero's own PDF import and Hubdoc (US and Canada only), DocuClipper, MoneyThumb Online, ProperConvert and Utilly. Outside the US and Canada Xero can't read PDFs, so you need a converter; for a few text PDFs, Utilly's $9 one-time pack costs least.
Who wrote this: Utilly, which is one of the options below. We've tried to be fair: every Xero, Hubdoc and competitor fact and price was checked on that vendor's own website on October 24, 2026 and is linked at the source, and we say plainly where the others do things ours doesn't (scanned statements, direct push into Xero, converting on your own computer). Prices are in US dollars and change, so confirm before you buy.
First question: where is the Xero organization?
Xero's answer to "can I import a PDF statement?" depends on the country of the organization:
- US and Canada: Xero can import a PDF statement itself (not on the Xero Ledger plan), and Hubdoc can turn PDFs from supported banks into a CSV. Try those first; a converter is for what they can't read.
- UK, Australia, New Zealand and everywhere else: Xero Central says PDF statement imports are only available in Canada and the United States. Import a Statement takes CSV, OFX, QFX, QuickBooks (.qbo) or QIF files instead (CSV, QIF), so a PDF has to be converted first.
Either way, use the bank feed if there is one. Converters are for the months a feed can't reach: before the feed started, closed accounts, and statements a client emails you.
Xero's own PDF import (US and Canada)
From Xero Central's Import a PDF bank statement, read October 24, 2026:
- Who: Xero organizations in the US and Canada, not on the Xero Ledger plan, with the administrator, standard + bank accounts or cashbook client role. No extra charge is mentioned.
- The PDF must be: 35 MB or less, up to 100 pages per statement, at least 200 DPI, in English, a debit or credit statement, not password protected, and (if scanned) scanned straight. One file per bank account.
- Banks: Xero lists banks whose statements it has validated (in the US, including Chase, Bank of America, Wells Fargo, Capital One, Amex, Citibank and Mercury). Other banks are accepted, but "the accuracy of the results might vary".
- How: Accounting → Bank accounts → the account's menu → Import a Statement, then a Review screen. Lines with warnings are still imported; lines with errors aren't, and Xero's advice is to import those with a different file type.
- Xero itself recommends OFX over PDF if your bank offers it.
Our Xero import errors guide covers what goes wrong on this screen.
Hubdoc's bank statement extraction (US and Canada)
Hubdoc is Xero's own document capture app. Xero's App Store listing says it's included in Xero Starter, Standard and Premium plans (Early, Growing and Established in the US) (source); on its own it's listed at $12 USD a month (source).
Xero announced bank statement extraction in Hubdoc in July 2022 (Xero blog, last updated November 2023): you upload a PDF with the Bank Statement Upload button in the web app, pick your bank and file format, and Hubdoc generates a pre-formatted CSV that you review and import into Xero (or QuickBooks Online) yourself. Per that post it's for supported US and Canadian banks only, reads digital PDFs downloaded from the bank (not photos or scans) and isn't in the mobile app. We couldn't find a newer public help page, so check your bank is in Hubdoc's list before you plan around it. Hubdoc's main job is bills and receipts; see Hubdoc vs Xero Smart Document Capture.
Xero CSV or OFX?
Xero Central recommends OFX, QFX or QuickBooks files over CSV when your bank offers them, because they're structured. A CSV works in every region but has rules (Xero Central):
- Only Date and Amount are required; Payee, Description and Reference make reconciling easier.
- Income and expenses in one Amount column, expenses negative (for a credit card, payments positive and purchases negative).
- No opening or closing balance columns (Xero calculates the balance), no account number, no empty rows, and at most 100,000 rows.
- Dates in one of the formats Xero lists. When a date could be read two ways, Xero asks once and applies the answer to that statement and future CSV imports, which is how months get swapped.
Whichever you use, check the file before importing: opening balance + money in − money out = closing balance, to the cent.
Converters for Xero compared

| Converter | Price | Into Xero | Best for |
|---|---|---|---|
| Utilly (web) | Free preview with the full balance check and the first 5 transactions. $9 one-time for 5 credits that never expire (1 per statement), or $19/month unlimited. Pricing | Xero CSV (Xero's template columns, dates YYYY/MM/DD) and OFX from one upload, plus QBO, IIF, QIF, CSV and Excel. Every PDF is checked against the opening and closing balance. Text-based English PDFs only; you import the file yourself. | Occasional and catch-up work, organizations outside the US and Canada, anyone who doesn't want a subscription. |
| DocuClipper (web) | Starter $29/month for 60 pages, $39 for 120 or $79 for 300; Business from $159 for 640 pages; 30% off billed annually. Monthly pages don't carry over. 14-day trial, up to 120 pages, no card; exporting or syncing needs a paid plan. Source | Direct Xero integration on every plan, or Excel, CSV, QBO, IIF, OFX, QFX and QIF files. | ProperConvert (desktop) | $19.99/month or $179.99/year for one user and device; Team (3) $49.98/month or $449.97/year. Unlimited pages. The free trial saves only 10 transactions per file. | Statements that must never leave your computer, heavy use on one machine. |

A 12-month catch-up on each
A common job: a new client's Xero organization needs 12 monthly PDF statements for one bank account, about 4 pages each (48 pages), from before the bank feed started.
- Xero's PDF import or Hubdoc (US and Canada only): no extra cost on plans that include them, but you upload and review 12 statements one by one, and Hubdoc only reads supported banks.
- Utilly: 12 credits. Three $9 packs ($27, with 3 credits left that never expire), or one month of Pro at $19 and cancel.
- DocuClipper: 48 pages fits Starter 60, so one month at $29, then cancel.
- MoneyThumb Online for Accounting: 12 conversions. The $49.95 Standard plan (20 a month) covers it in one month; on the $24.95 plan it takes three months ($74.85).
- ProperConvert: one month at $19.99, on one computer. The free trial won't do it, because each saved file stops at 10 transactions.
Long or scanned statements change the answer: per-page pricing (DocuClipper) gets dearer, and only DocuClipper, MoneyThumb and ProperConvert read scans.
Who should pick what
- Use Xero's own PDF import first if the organization is in the US or Canada, the statement is a clean bank PDF and the bank is on Xero's validated list.
- Use Hubdoc if you already have it through Xero and your US or Canadian bank is supported.
- Pick Utilly if the organization is outside the US and Canada or Xero's import can't read the statement, you have a few text-based PDFs, you want each one checked against the statement balance before it goes in, and you don't want a subscription. Try the free preview first.
- Pick DocuClipper if you have volume or several users, scanned statements, or want transactions pushed straight into Xero.
- Pick MoneyThumb Online if your statements are long or scanned and an OFX file is all you need.
- Pick ProperConvert if client statements must stay on your computer.
Whatever you choose, our free statement balance checker checks a CSV from any converter in your browser before it goes into Xero. Already have a CSV in the wrong layout? CSV to Xero rewrites it in Xero's template (free up to 100 rows). For a whole year of statements, see catch-up bookkeeping.
What Utilly does and doesn't do
Does: works in any browser with nothing to install, reads text-based PDF bank and credit card statements (tested on Chase, Bank of America, Wells Fargo, Capital One and Mercury bank statements and Amex, Chase, Capital One and Citi cards; it also reads day-first DD/MM dates and "balance brought/carried forward" lines as printed on many UK, Australian and New Zealand statements), checks the result against the statement's balances, and writes a Xero CSV and an OFX file plus QBO, IIF, QIF, CSV and Excel from the same upload. The Xero CSV uses Xero's template columns (Date, Amount, Payee, Description, Reference), writes dates year first so day and month can't swap, leaves out $0.00 lines and splits files over 1,000 rows. See bank statement PDF to Xero, try a sample statement or upload your own for a free preview.
Doesn't: read scanned or photographed statements, read statements in languages other than English, connect to your bank or push into QuickBooks or Xero (you download a file and import it with Import a Statement), write QFX, offer an API, or run offline (statement PDFs are uploaded to our server, processed in memory and never written to disk, and results are deleted after an hour). Our tuning and testing has been on US banks, so try the free preview on one non-US statement before converting a year of them. We build the Xero files to Xero Central's published rules; check the Review screen on your first import. If you need those things, one of the other tools above is the better fit.
FAQ
What is the best bank statement converter for Xero?
It depends on where the Xero organization is and how many statements you have. In the US and Canada, try Xero's own PDF import first: it's included and reads statements from a long list of validated banks. Everywhere else Xero can't read PDFs, so you need a converter: for a few text-based PDF statements, Utilly ($9 one-time for 5 statements) writes a Xero CSV and an OFX file checked against the statement balance; for scans, high volume or direct push into Xero, DocuClipper (from $29/month for 60 pages); for files that must stay on your computer, ProperConvert ($19.99/month).
Can Xero import a PDF bank statement?
Only in Xero organizations in the US and Canada, and not on the Xero Ledger plan. The PDF must be 35 MB or less, up to 100 pages, at least 200 DPI, in English, a debit or credit statement and not password protected. Xero still recommends OFX over PDF if your bank offers it. Organizations in the UK, Australia, New Zealand and elsewhere need a CSV, OFX, QFX, QBO or QIF file instead.
Can Hubdoc convert bank statements to CSV for Xero?
Yes, in the US and Canada. Xero announced bank statement extraction in Hubdoc in 2022: it turns digital PDF statements from supported US and Canadian banks into a pre-formatted CSV you then import into Xero, and it doesn't read scans or photos. Hubdoc is included in Xero's Starter, Standard and Premium plans (Early, Growing and Established in the US). Check that your bank appears in Hubdoc's list before relying on it.
Is CSV or OFX better for importing a bank statement into Xero?
OFX, if your bank or converter offers it: Xero Central recommends OFX, QFX or QuickBooks files over CSV and OFX over PDF. A CSV works everywhere but needs one signed Amount column, no balance columns, no empty rows and a date format Xero lists. Utilly writes both a Xero CSV (dates year first, YYYY/MM/DD) and an OFX file from the same upload.
Is there a free way to get a PDF bank statement into Xero?
In the US and Canada, Xero's own PDF import and Hubdoc's bank statement extraction cost nothing extra on plans that include them. Elsewhere, Utilly's free preview runs the full balance check and shows the first 5 transactions, and CSV, Excel, OFX and QIF files up to 100 rows convert to Xero CSV free. DocuClipper's 14-day trial processes up to 120 pages, but exporting or syncing needs a paid plan.
Which converters push transactions straight into Xero?
DocuClipper says every plan includes a direct Xero integration. Xero's own PDF import puts statement lines straight into the bank account. Utilly, MoneyThumb Online for Accounting and ProperConvert give you a file (CSV or OFX) that you import with Import a Statement.
Which options read scanned bank statements for Xero?
DocuClipper, MoneyThumb and ProperConvert say they read scanned statements. Xero's PDF import accepts scans if they're at least 200 DPI and scanned straight, but recommends a PDF downloaded from the bank. Hubdoc's bank statement extraction and Utilly read digital (text-based) PDFs only.
