How to import supplier invoices into Xero as bills

  1. Upload the invoices or receipts above and check every field.
  2. Set the import settings: the account code (default 429), the purchase tax rate exactly as it's named in your Xero organization (default Tax Exempt) and the date order your organization uses (MM/DD/YYYY for the US, DD/MM/YYYY for the UK, Australia, New Zealand and most other regions). Save.
  3. Download the Xero bills CSV.
  4. In Xero, open Bills (Purchases → Bills), click New bill and choose Import from CSV, then select the file.
  5. Choose Tax inclusive for the amounts and finish the import. The bills arrive as drafts: review and approve them in Xero.

What's in the file

Xero's own bill template headings, in its order, with one row (one draft bill) per document:

*ContactName,EmailAddress,POAddressLine1,…,*InvoiceNumber,*InvoiceDate,*DueDate,Total,InventoryItemCode,Description,*Quantity,*UnitAmount,*AccountCode,*TaxType,TaxAmount,…,Currency

ColumnWhat we write
*ContactNameThe vendor. Xero creates a new contact if it doesn't match one, so edit the name to match an existing contact exactly.
*InvoiceNumberThe printed number, made unique: Xero merges rows that share a number into one bill, even for different suppliers. Receipts without a number get RCPT-YYYYMMDD-n.
*InvoiceDate / *DueDateIn the order you chose. The due date is the printed one, or the invoice date when there isn't one (it's never before the invoice date).
*Quantity / *UnitAmount1 and the document's total, tax included, which is why you import with Tax inclusive.
*AccountCode / *TaxTypeYour settings. Both must exist in your organization, spelled the same way.
DescriptionVendor, number and the file name, so the bill points back to its source document.
TaxAmountLeft blank: Xero only accepts a TaxAmount on tax-exclusive imports, and works out tax from the rate you choose.
CurrencyThe currency we detected ($ is read as USD); blank means your base currency. Add any foreign currency in Xero before you import.

Xero suggests splitting files of more than 500 items. Rows with a total of 0.00 are left out.

FAQ

Questions

What files can I upload?

PDF receipts and invoices (emailed or downloaded PDFs, and scanned PDFs), and photos or scans as JPG, PNG, WEBP, TIFF, BMP or GIF. Up to 25 files at once, one receipt or invoice per file. iPhone HEIC photos need converting to JPG first (Settings → Camera → Formats → Most Compatible).

How do I import the Xero file?

In Xero, open Bills (Purchases → Bills), click New bill and choose Import from CSV, then select the file. When Xero asks, choose Tax inclusive for the amounts, because UnitAmount is the receipt's total. The bills arrive as drafts for you to review and approve.

Which account code and tax rate does the Xero file use?

The ones you set on the results page. The defaults are account 429 (General Expenses in Xero's default chart) and Tax Exempt, one of the default US tax rates, so the bill total equals the receipt total. If you track sales tax on purchases, type your own purchase tax rate exactly as it's named in Xero, for example Tax on Purchases.

What date format does the Xero file use?

Month first (MM/DD/YYYY) by default, for US organizations. If your Xero organization is in the UK, Australia, New Zealand or another day-first region, pick DD/MM/YYYY on the results page before you download.

Two suppliers use the same invoice number. Is that a problem?

Xero merges CSV rows that share an InvoiceNumber into one bill, even across suppliers, so the export makes every number unique: a repeat gets -2, -3 added, and a receipt with no number gets one like RCPT-20260903-1.

What does it pull out of each receipt?

The vendor, the receipt or invoice date, the due date if there is one, the receipt or invoice number, the subtotal, tax, tip and total, the currency and the payment card (type and last 4 digits only). Each row shows whether it was read from the PDF's text or from an image, and flags anything to check, for example when subtotal plus tax doesn't come to the total.

How accurate is it?

PDFs with a text layer, like most emailed receipts and invoices, are read exactly as printed. Photos and scans are read with OCR, which can misread a blurry or crumpled receipt, so every field is editable in the preview and image rows are marked to check. We look for the line labelled Total, Amount due or Grand total; if there isn't one, we use the largest amount and say so.

Is it free?

The preview is always free. Downloads are free for batches of up to 3 receipts, with no sign-up. Bigger batches (up to 25 files) use 1 credit from the same $9 pack of 5 credits as our statement converter, or are unlimited on Pro at $19/month.

Are my receipts stored?

No. Files are read in memory, photos are passed to the text reader in memory too, and nothing is written to disk. Extracted results are deleted after 1 hour. We never use your documents for AI training, and receipt contents are never sent to our analytics.

Can I try it without uploading my own receipts?

Yes. Click Try sample receipts under the upload box. It runs a fictional receipt PDF, a fictional invoice PDF and a fictional phone photo of a café receipt through the same extractor, and every download is free.

Can one PDF hold several receipts?

Not yet: each file is treated as one receipt or invoice (a multi-page invoice is fine). If you scanned a stack of receipts into one PDF, split it into one file per receipt first.
