Upload receipts or supplier invoices (PDF or photo) and download a CSV ready for QuickBooks Online's Import data → Bills, with one bill per receipt. Review every field first. Free for up to 3 receipts.
Sample files to test with: receipt PDF · invoice PDF · receipt photo
Drop up to 25 PDF receipts, invoices or photos at once. Text PDFs are read exactly; scans and photos are read with OCR.
See vendor, date, number, subtotal, tax, tip and total for each file, with anything doubtful flagged. Fix any field right in the table.
One clean CSV or Excel sheet, a Xero bill import, or a QuickBooks Online bill import. Same batch, any format.
| Column | What we write |
|---|---|
| Bill No. | The receipt or invoice number. Receipts without one get RCPT-YYYYMMDD-n, and a repeated number gets -2, -3, so every bill is unique. |
| Supplier | The vendor name, as shown in the table (edit it to match an existing supplier exactly). |
| Bill Date / Due Date | MM/DD/YYYY. The due date is the one printed on the invoice, or the bill date when there isn't one. |
| Memo | Receipt and the file name, so you can find the original. |
| Account | The account you set; QuickBooks needs it on every line, even for totals-only bills. |
| Line Description / Line Amount | Vendor and number; the receipt total, tax included. Receipts with a negative or zero total are left out, because QuickBooks doesn't import bills under 0 or credit memos. |
| Line Tax Code / Line Tax Amount | Left blank. QuickBooks only needs them when sales tax is turned on, and then calculates tax from the code you map. |
Plans: Intuit says bill import in the US is available on QuickBooks Online Advanced and higher; on other US plans, upload the receipts on the Bills page or record them from the Receipts tab instead, and keep the CSV or Excel file for your records. QuickBooks Desktop doesn't use this file.
| File | What's in it |
|---|---|
| Clean CSV / Excel | One row per receipt: file name, vendor, date, receipt or invoice number, subtotal, tax, tip, total, currency, payment card and due date. Dates are YYYY-MM-DD; Excel gets real dates and number formats. |
| Xero bills CSV | Xero's bill import template headings (*ContactName, *InvoiceNumber, *InvoiceDate, *DueDate, *Quantity, *UnitAmount, *AccountCode, *TaxType…), one draft bill per receipt for its total, unique invoice numbers, dates in your region's order. Import with amounts set to Tax inclusive. |
| QuickBooks Online bills CSV | Bill No., Supplier, Bill Date, Due Date, Memo, Account, Line Description, Line Amount, Line Tax Code, Line Tax Amount, Currency: the columns QuickBooks Online's Import data → Bills asks for, one bill per receipt, MM/DD/YYYY dates. |
Need the statement side too? Our PDF bank statement converter turns statements into CSV, Excel, QuickBooks and Xero files, and the bank reconciliation checker matches a statement against your books.
The preview is always free, and downloads are free for batches of up to 3 receipts, with no sign-up. Bigger batches (up to 25 files) use 1 credit from the same $9 pack of 5 as our statement converter, or are unlimited on Pro at $19/month.
PDF receipts and invoices (emailed or downloaded PDFs, and scanned PDFs), and photos or scans as JPG, PNG, WEBP, TIFF, BMP or GIF. Up to 25 files at once, one receipt or invoice per file. iPhone HEIC photos need converting to JPG first (Settings → Camera → Formats → Most Compatible).
In QuickBooks Online, go to Settings ⚙ → Import data → Bills, select the CSV, tick the option to add new suppliers if you want them created, map the columns (they're named the way QuickBooks expects: Bill No., Supplier, Bill Date, Due Date, Account, Line Amount) and choose the MM/DD/YYYY date format. Each receipt becomes one bill with one line for its total.
Intuit says importing bills in the US needs QuickBooks Online Advanced or higher; other US plans can upload bill documents on the Bills page instead. Outside the US, bill import is available on more plans. On any plan you can use the clean CSV or Excel file for your records or a bulk entry tool.
The account you type on the results page; the default is Uncategorized Expense. The account has to exist in QuickBooks before you import, so type it exactly as it appears in your chart of accounts. You can recategorize bills after import.
QuickBooks Online can capture receipts one at a time (Transactions → Receipts) and match them to bank transactions. Utilly is useful when you have a batch to turn into bills at once, want the same data as a spreadsheet for your workpapers, or work in Xero or QuickBooks Desktop too.
The vendor, the receipt or invoice date, the due date if there is one, the receipt or invoice number, the subtotal, tax, tip and total, the currency and the payment card (type and last 4 digits only). Each row shows whether it was read from the PDF's text or from an image, and flags anything to check, for example when subtotal plus tax doesn't come to the total.
PDFs with a text layer, like most emailed receipts and invoices, are read exactly as printed. Photos and scans are read with OCR, which can misread a blurry or crumpled receipt, so every field is editable in the preview and image rows are marked to check. We look for the line labelled Total, Amount due or Grand total; if there isn't one, we use the largest amount and say so.

No. Files are read in memory, photos are passed to the text reader in memory too, and nothing is written to disk. Extracted results are deleted after 1 hour. We never use your documents for AI training, and receipt contents are never sent to our analytics.
Yes. Click Try sample receipts under the upload box. It runs a fictional receipt PDF, a fictional invoice PDF and a fictional phone photo of a café receipt through the same extractor, and every download is free.
Not yet: each file is treated as one receipt or invoice (a multi-page invoice is fine). If you scanned a stack of receipts into one PDF, split it into one file per receipt first.
