How to bulk upload receipts to QuickBooks Online

Updated October 22, 2026 · 7 min read · By the Utilly team

You have a stack of receipts, maybe a month of fuel and supplies or a new client's shoebox, and you want them in QuickBooks Online without opening every one by hand. QuickBooks has several ways to take receipts in bulk, and they all end the same way: each receipt becomes a transaction you review, then match or save. Here's what each route does according to Intuit's own help pages, when that's enough, and when it's quicker to turn the batch into one bill import file instead.

Short answer: go to All apps → Accounting → Receipts and choose Upload from computer or Upload from Google Drive, one receipt per file (PDF, JPEG, JPG, GIF or PNG). You can also email receipts to a QuickBooks forwarding address or snap them in the mobile app. Every receipt then waits in the For review tab to be matched to a bank transaction or saved as an expense or bill. If you'd rather check the whole batch in a spreadsheet and bring it in as bills in one go, convert the receipts to a QuickBooks Online bills CSV and use Settings ⚙ → Import data → Bills (Advanced and higher in the US).

Every way to get receipts into QuickBooks Online

RouteWhat happensFits
Receipts tab upload (computer or Google Drive)QuickBooks reads each file and creates a transaction in For review. One receipt per file.Receipts you already have as PDFs or photos, matched to bank feed charges.
Email forwardingAn admin sets up a forwarding address; permitted users send receipts from their QuickBooks sign-in email. Several receipts per email, each a separate file.Emailed receipts and invoices, and team members sending their own.
Mobile Receipt snapPhotograph receipts in the QuickBooks app; they land in the same For review list.Paper receipts as they happen.
Bills page uploadUpload bill files on the Bills page; each becomes a bill to review.Unpaid supplier invoices on any plan.
Import data → Bills (CSV or Excel)Imports a spreadsheet of bills in one step after mapping columns. Intuit restricts this to Advanced and higher in the US.A checked batch you want in as bills at once.
Bank transactions → Upload from file (CSV)Uploads a 3 or 4 column transaction list into a bank or card account.Only for an account with no bank feed, or you'll double count.

Upload a batch in the Receipts tab

  1. Go to All apps → Accounting → Receipts.
  2. Select Upload from computer or Upload from Google Drive and choose your files.
  3. Each file must hold one receipt, as PDF, JPEG, JPG, GIF or PNG. Intuit asks you to remove sensitive details such as full card numbers first.
  4. QuickBooks extracts the details and puts each receipt in the For review tab.

How many at once? Intuit's US article describes adding receipts one at a time and repeating for each, while its Canadian article for the same feature says you can select multiple files at once to upload several receipts in a single batch. In practice, try selecting several files in the upload window; either way, each file is still one receipt and one review. Intuit also notes the feature is limited on QuickBooks Online Free and Lite. (Intuit US, Intuit Canada)

A Google Drive folder is a handy way to batch: save scans to one folder during the month, then pick them all from Upload from Google Drive.

Forward receipts by email

An administrator selects Forward from email in the Receipts tab, names the address, then under Manage forwarding email turns it on for each user allowed to send. Those users must send from the email address they sign in to QuickBooks with. Intuit says they can attach several receipts to one email as long as each receipt is a separate image. The receipts appear in For review like uploads.

This is the easiest route for receipts that arrive by email: forward them as they come instead of saving and uploading them later.

Snap receipts on your phone

In the QuickBooks mobile app, open the menu, go to Receipt snap and use the receipt camera, then Use this photo. Intuit's video notes some Android devices can capture several images on that screen. You can review and match in the app (swipe a receipt to create an expense) or later on a computer.

Upload several bills on the Bills page

For supplier invoices you haven't paid yet, go to All apps → Expenses & Bills → Bills, open the Add bill ▼ dropdown and choose the upload option, then drag your files into the upload window (PDF, JPEG, JPG, GIF or PNG). Uploaded bills land in the Bills For review tab to check before you schedule payment. Intuit's import FAQ points US plans below Advanced to this "upload multiple bills" route, because importing bills from a spreadsheet is restricted to Advanced and higher in the US. Review and match: where the time goes

Uploading 40 receipts takes a minute. Reviewing 40 receipts is the real work, because every one needs a decision:

  • Match it to a transaction already in QuickBooks. If your bank or card feed has brought the charge in, QuickBooks shows suggested matches; pick the right one and select Match. This attaches the receipt and doesn't create anything new.
  • Create an expense (or bill) when there's nothing to match, after checking the vendor, date, amount, account and memo.
  • Fix what was misread. Faded thermal paper, long receipts and multi-page hotel folios are where totals and dates go wrong.

Matching is the step that keeps your books right. If a receipt for a charge that's already in the bank feed is saved as a new expense instead, you have it twice. Our guide to duplicate transactions after an import shows how to find and clean those up.

When the built-in tools are enough

  • Your receipts are for charges already in a bank or card feed. The Receipts tab exists to attach them to those transactions. A CSV can't do that matching for you.
  • Receipts arrive steadily. Forwarding and Receipt snap as they happen beats any batch job.
  • You want the image attached to the transaction for audit support. Built-in capture keeps it; an imported CSV row doesn't carry the file.
  • A handful at a time. Ten receipts a week is a five-minute review.

When a CSV or bill import is faster

A spreadsheet step helps when the receipts are not already in a feed, or when you need to see the whole batch before anything touches the books:

  • Catch-up and year-end work: a client's backlog of unpaid invoices or out-of-pocket receipts, paid from an account QuickBooks doesn't see.
  • You want to check totals as a batch: sort by vendor, spot duplicates, compare the sum with a card statement, then import.
  • A record for workpapers or the client, as CSV or Excel, alongside whatever goes into QuickBooks.
  • You're on QuickBooks Online Advanced in the US (or outside the US), where Settings ⚙ → Import data → Bills takes the whole file at once. Intuit recommends no more than 100 bills per import.

The workflow with Utilly's receipts to QuickBooks page:

  1. Upload up to 25 PDF or photo receipts and invoices.
  2. Check the table: vendor, date, number, subtotal, tax, tip and total, with rows flagged when the numbers don't add up. Edit anything in place.
  3. Set the expense account (it must already exist in your chart of accounts) and download the QuickBooks Online bills CSV. Receipts without a number get a unique bill number such as RCPT-20261003-1.
  4. In QuickBooks, go to Settings ⚙ → Import data → Bills, upload the file, map the columns (they already use QuickBooks' names) and finish. Bills for things already paid then need the payment recorded or matched to the bank transaction.

Every column is explained in how to import bills into QuickBooks Online from CSV. Just want a spreadsheet? Receipt to CSV gives you CSV or Excel from the same upload.

Not on Advanced? The bill import file won't help on US Simple Start, Essentials or Plus. Use the Receipts tab or the Bills page upload, and keep the CSV or Excel export as your checked list. What about the bank upload? Bank transactions → Upload from file takes a CSV with Date, Description and Amount (or Credit and Debit), up to 350 KB and 1,000 lines per Intuit. Use it only for an account that has no bank feed, because every row becomes a new transaction. (Intuit: manually upload transactions)

Common problems and fixes

ProblemFix
iPhone photos won't uploadThey're probably HEIC. Set Settings → Camera → Formats → Most Compatible, or export as JPG. (Utilly doesn't read HEIC either.)
One PDF holds many receiptsSplit it into one file per receipt first. QuickBooks and Utilly both expect one receipt per file.
Receipts saved twiceMatch to the feed transaction instead of creating an expense. Find duplicates with a report sorted by amount and date.
No Import data → Bills optionIn the US it needs Advanced. Upload on the Bills page instead.
Wrong total or dateCheck subtotal + tax + tip = total, and day/month order on non-US receipts. Our receipt OCR guide has a checklist.

What Utilly does and doesn't do

  • Does: reads PDF receipts and invoices and photos (JPG, PNG, WEBP, TIFF, BMP, GIF), up to 25 files per batch, one receipt or invoice per file, and writes CSV, Excel, a QuickBooks Online bills CSV or a Xero bill import CSV. Every field is editable before download.
  • Doesn't: connect to QuickBooks, match receipts to bank transactions, attach the image to the transaction, extract line items, or store your documents (files are read in memory and results are deleted after 1 hour). iPhone HEIC photos need converting to JPG first.
  • Price: the preview is always free; batches of up to 3 receipts download free with no sign-up; 4 to 25 receipts use 1 credit from a one-off $9 pack of 5 credits; or unlimited on Pro at $19/month.

Turn a batch of receipts into a QuickBooks bills file

Upload PDFs or photos, check every field in the preview, then download a QuickBooks Online bill import, CSV or Excel. Up to 3 receipts per batch are free; 4 to 25 cost 1 credit.

Just need a spreadsheet? Use receipt to CSV.

FAQ

Can I upload multiple receipts to QuickBooks Online at once?

Yes, as separate files. In All apps, Accounting, Receipts, choose Upload from computer or Upload from Google Drive. Intuit's Canadian help article says you can select multiple files to upload several receipts in a single batch; its US article describes adding them one at a time. Either way each file must contain one receipt, and each one lands in the For review tab to match or save.

How do I email receipts to QuickBooks Online?

An admin selects Forward from email in the Receipts tab, names the address, and turns it on for each user under Manage forwarding email. Users must send from the email address they sign in to QuickBooks with, and can attach several receipts to one email as long as each receipt is a separate image.

Can I import receipts into QuickBooks Online from a CSV?

Not into the Receipts tab, which takes PDF and image files. You can import receipts as bills from a CSV or Excel file with Settings, Import data, Bills, which Intuit restricts to QuickBooks Online Advanced and higher in the US. A tool such as Utilly turns receipt PDFs and photos into that bills file.

What file types does QuickBooks Online accept for receipts?

PDF, JPEG, JPG, GIF and PNG, one receipt per file. iPhone photos saved as HEIC need converting to JPG first, for example with Settings, Camera, Formats, Most Compatible.

Can I upload one PDF that contains several receipts?

No. QuickBooks expects one receipt per file, so split a multi-receipt scan into separate files before uploading. The same applies to Utilly.

Will uploading receipts create duplicate expenses?

Only if you save a receipt as a new expense when the charge is already in QuickBooks from a bank or card feed. Match the receipt to the existing transaction instead; QuickBooks shows suggested matches in the For review tab.

How do I bulk add receipts on QuickBooks Online Essentials or Plus?

Use the Receipts tab upload or email forwarding, or for supplier invoices upload several files on the Bills page. Intuit's import FAQ says importing bills from a spreadsheet is restricted to Advanced and higher in the US and points other plans to uploading multiple bills on the Bills page.
