Receipt OCR without a subscription: turn receipts into a CSV for QuickBooks or Xero

Updated October 21, 2026 · 8 min read · By the Utilly team

You have a pile of receipts and invoices, maybe a few dozen at year-end or a shoebox from a new client, and you need them as rows in a spreadsheet or as bills in QuickBooks or Xero. Most receipt capture tools are monthly subscriptions built for a steady weekly flow. If your volume is occasional, here's an honest look at the options, how to check whatever the OCR gives you, and how to get the result into your books.

Your options, compared

OptionHow it worksVerdict
Manual entryType vendor, date, number, tax and total into a spreadsheet or straight into QuickBooks or Xero.Fits: A handful of receipts. No setup.
Watch out: Slow, and typos such as transposed digits are easy to miss.
Phone scanner appsPhotograph receipts into a clean, cropped image or PDF.Fits: Getting paper out of the shoebox with a readable copy.
Watch out: A scan is still a picture: you still need vendor, date and total in columns.
Capture built into your accounting softwareQuickBooks Online can capture receipts (Transactions → Receipts) and match them to bank transactions. Xero says Hubdoc is included in its paid plans when connected (US plans list Smart Document Capture).Fits: Matching receipts to bank feed transactions, if you already pay for the plan.
Watch out: Built around matching one at a time, not handing you a spreadsheet of a whole batch.
Subscription capture tools (Dext, Hubdoc, AutoEntry)Upload by app, email or scanner; data is extracted and published to your ledger with the image attached. Dext prices plans by users and documents per month. AutoEntry, owned by Sage, sells monthly credit plans, with a receipt costing 1 credit.Fits: A weekly flow of documents across many clients, with line items and automatic publishing.
Watch out: A recurring cost and setup per client; more than a one-off catch-up needs. Check each vendor's current plans yourself.
Pay-per-use extractorsUpload a batch, check the results, download a file, and pay only for that batch (or nothing for small ones).Fits: Occasional batches, year-end catch-up, one-off clients, or a spreadsheet for workpapers.
Watch out: You import the file yourself, and you still review what was read.

Which one fits

  • Under ten receipts, once: type them. It's faster than learning any tool.
  • A steady flow every week, many clients: a subscription capture tool is built for exactly that, and the per-document cost drops with volume.
  • You already pay for Xero or QuickBooks Online and match receipts to the bank feed: try the built-in capture first.
  • A batch now and then, or you need a spreadsheet: scan with your phone if the receipts are paper, then run the batch through a pay-per-use extractor and download a CSV or a bill import file.

How to check OCR output

Any OCR, paid or free, misreads some receipts: faded thermal paper, a crease through the total, a 5 that looks like an S. A PDF with a real text layer (most emailed receipts and invoices) is far more reliable than a photo, because the text is read as printed rather than recognized from pixels. Whatever you use, check these before anything reaches your books:

  1. Totals add up. Subtotal + tax (+ tip) should equal the total. If it doesn't, look for a discount, a service fee, or a misread digit.
  2. The total is the total. Receipts print several amounts: subtotal, tax, amount tendered, change, card balance. Make sure the captured total is the line labelled Total, Amount due or Grand total, not the cash handed over.
  3. Tax looks plausible. Tax divided by subtotal should be close to the local rate. A tax line read as 8.25 when the receipt shows 8.25% is a classic OCR mistake.
  4. Dates are in the right order. 03/04/2026 is March 4 in the US and 3 April in the UK, Australia and New Zealand. Check a receipt dated after the 12th to be sure the whole batch was read the right way, and check the year on two-digit dates.
  5. Vendor names match your contacts. "AMZN Mktp" and "Amazon" become two suppliers on import. Tidy names to match existing contacts before importing.
  6. No duplicates. The same receipt photographed twice, or an emailed copy plus a paper copy, gives two identical rows. Sort by vendor, date and total and scan for repeats.
  7. Currency. Foreign-currency receipts need the right currency code, and the currency must be enabled in your accounting software.

Then do one cross-check that catches almost everything: compare the batch total with the card or bank statement for the same period. If the receipts are card purchases, each one should have a matching card transaction.

Getting the CSV into QuickBooks or Xero

First decide what each receipt is. A receipt you've already paid by card or cash is usually an expense that you match to the bank or card feed. A supplier invoice you'll pay later is a bill. Both programs can import bills from a CSV:

  • QuickBooks Online: Settings ⚙ → Import data → Bills. In the US, Intuit restricts bill import to Advanced and higher; other US plans upload bill documents on the Bills page instead. The full walkthrough, with the seven required columns, is in how to import bills into QuickBooks Online from CSV.
  • Xero: Purchases → Bills → New bill → Import from CSV. Bills arrive as drafts. Rows that share an invoice number merge into one bill, and receipts with only a total should be imported as tax inclusive. Every column is explained in our Xero bill import template guide.

Pay-per-batch with Utilly

Utilly's receipt and invoice extractor is the pay-per-use option above, with no subscription needed. What it does, and doesn't do:

  • Files: PDF receipts and invoices (emailed, downloaded or scanned) and photos as JPG, PNG, WEBP, TIFF, BMP or GIF, up to 25 files per batch, one receipt or invoice per file. iPhone HEIC photos need converting to JPG first.
  • Fields: vendor, date, due date, receipt or invoice number, subtotal, tax, tip, total, currency, and the card type and last 4 digits. Line items aren't extracted.
  • Checks: PDFs with a text layer are read as printed; photos and scans go through OCR and are marked to check. Rows are flagged when subtotal + tax doesn't come to the total, when no date or vendor is found, or when no line was labelled Total and the largest amount was used. Every field is editable before you download.
  • Downloads: clean CSV, Excel, a QuickBooks Online bills CSV, and a CSV in Xero's bill template (unique invoice numbers, your account code and tax rate, US or day-first date order).
  • Privacy: files are read in memory and not written to disk, results are deleted after 1 hour, and documents are never used for AI training.
  • Price: the preview is always free, and batches of up to 3 receipts download free with no sign-up. A batch of 4 to 25 uses 1 credit from a one-off $9 pack of 5 credits, or it's unlimited on Pro at $19/month.

FAQ

Can I turn receipts into a CSV without paying for a subscription?

Yes. For a few receipts, type them into a spreadsheet. For a batch, a pay-per-use extractor reads PDFs and photos into rows you check and download. Utilly is free for batches of up to 3 receipts; 4 to 25 use 1 credit from a one-off $9 pack of 5 credits.

Is a phone scanner app enough?

It's a good first step for paper receipts because it gives you a clean image or PDF, but a scan is still a picture. You still need the vendor, date and total extracted into columns before you can import anything.

Do QuickBooks Online and Xero read receipts themselves?

Yes. QuickBooks Online can capture receipts under Transactions, Receipts and match them to bank transactions, and Xero says Hubdoc is included in its paid plans when connected. Both work well for matching receipts one at a time; a separate extractor helps when you want a whole batch as a spreadsheet or a bill import file.

When is a subscription tool like Dext, Hubdoc or AutoEntry worth it?

When documents arrive every week, often across many clients, and you want mobile capture, email-in and publishing straight to the ledger with the image attached. For a one-off catch-up or occasional batches, a recurring plan is usually more than you need. Check each vendor's current plans yourself.

How accurate is receipt OCR?

PDFs with a text layer, like most emailed receipts, are read as printed. Photos and scans depend on image quality: faded thermal paper, creases and blur cause misread digits. Always check that subtotal plus tax equals the total, that the total isn't the cash tendered, and that dates were read in the right order.

How do I check OCR output before importing?

Confirm subtotal plus tax (plus tip) equals the total, tax is plausible for the rate, dates are in the right day/month order, vendor names match your existing contacts, there are no duplicate receipts, and the currency is right. Then compare the batch total with the card or bank statement for the period.

Can I import receipts into QuickBooks or Xero as bills?

Yes, from a CSV. QuickBooks Online uses Settings, Import data, Bills (Advanced and higher in the US); Xero uses Purchases, Bills, Import from CSV, and receipts with only a total should be imported as tax inclusive. Utilly writes both file layouts for you.
