2. Check every field

See vendor, date, number, subtotal, tax, tip and total for each file, with anything doubtful flagged. Fix any field right in the table.

3. Download

One clean CSV or Excel sheet, a Xero bill import, or a QuickBooks Online bill import. Same batch, any format.

How to extract invoice data to CSV or Excel

  1. Upload your supplier invoices as PDFs, up to 25 at a time. Scanned invoices work too: pages without a text layer are read with OCR (the first 3 pages of each file).
  2. Review the table: supplier, invoice number, invoice date, due date, subtotal, tax and total for each invoice. Correct anything and save.
  3. Download a CSV or an Excel sheet with one row per invoice, or a bill import file for Xero or QuickBooks Online.

Dates are written YYYY-MM-DD so Excel and Google Sheets read them the same way everywhere. Amounts are plain numbers with a point for decimals, without currency symbols or thousands separators. Text that a spreadsheet could run as a formula (starting with =, +, - or @) is written with a leading apostrophe.

FAQ

Questions

What files can I upload?

PDF receipts and invoices (emailed or downloaded PDFs, and scanned PDFs), and photos or scans as JPG, PNG, WEBP, TIFF, BMP or GIF. Up to 25 files at once, one receipt or invoice per file. iPhone HEIC photos need converting to JPG first (Settings → Camera → Formats → Most Compatible).

What does it pull out of each receipt?

The vendor, the receipt or invoice date, the due date if there is one, the receipt or invoice number, the subtotal, tax, tip and total, the currency and the payment card (type and last 4 digits only). Each row shows whether it was read from the PDF's text or from an image, and flags anything to check, for example when subtotal plus tax doesn't come to the total.

How accurate is it?

PDFs with a text layer, like most emailed receipts and invoices, are read exactly as printed. Photos and scans are read with OCR, which can misread a blurry or crumpled receipt, so every field is editable in the preview and image rows are marked to check. We look for the line labelled Total, Amount due or Grand total; if there isn't one, we use the largest amount and say so.

Is it free?

The preview is always free. Downloads are free for batches of up to 3 receipts, with no sign-up. Bigger batches (up to 25 files) use 1 credit from the same $9 pack of 5 credits as our statement converter, or are unlimited on Pro at $19/month.

Are my receipts stored?

No. Files are read in memory, photos are passed to the text reader in memory too, and nothing is written to disk. Extracted results are deleted after 1 hour. We never use your documents for AI training, and receipt contents are never sent to our analytics.

Can I try it without uploading my own receipts?

Yes. Click Try sample receipts under the upload box. It runs a fictional receipt PDF, a fictional invoice PDF and a fictional phone photo of a café receipt through the same extractor, and every download is free.

Can one PDF hold several receipts?

Not yet: each file is treated as one receipt or invoice (a multi-page invoice is fine). If you scanned a stack of receipts into one PDF, split it into one file per receipt first.

How do I import the Xero file?

In Xero, open Bills (Purchases → Bills), click New bill and choose Import from CSV, then select the file. When Xero asks, choose Tax inclusive for the amounts, because UnitAmount is the receipt's total. The bills arrive as drafts for you to review and approve.

How do I import the QuickBooks Online file?

In QuickBooks Online, go to Settings ⚙ → Import data → Bills, select the CSV, tick the option to add new suppliers if you want them created, map the columns (they're named the way QuickBooks expects: Bill No., Supplier, Bill Date, Due Date, Account, Line Amount) and choose the MM/DD/YYYY date format. Each receipt becomes one bill with one line for its total.

Which QuickBooks Online plans can import bills?

Intuit says importing bills in the US needs QuickBooks Online Advanced or higher; other US plans can upload bill documents on the Bills page instead. Outside the US, bill import is available on more plans. On any plan you can use the clean CSV or Excel file for your records or a bulk entry tool.

Does it read line items?

Not yet. It reads each invoice's header and totals (supplier, number, dates, subtotal, tax, total), which is what an accounts payable list, a bill import or an expense report needs. Line-item detail isn't extracted.
