Free bank statement converters (2026): what's actually free, and the catch with each

Updated October 27, 2026 · 8 min read · By the Utilly team

The free options with no usage cap are the ones you already have: your bank's own CSV download, QuickBooks Online's PDF upload, Xero's PDF import (US and Canada) and Excel's From PDF on Microsoft 365 for Windows, plus Tabula, a free open-source app. Everything else is free up to a limit. Here's what each one actually gives you for $0, and how to check the result before it goes into your books.

Who wrote this: Utilly, which sells a paid converter and is one of the options below. We only list free options we could confirm on the maker's own page. Tabula, Adobe, DocuClipper and ProperSoft facts were read on October 27, 2026; the Intuit, Xero and Microsoft facts come from the help pages linked here and in our other guides (checked October 23 to 24, 2026). Free limits change more often than prices, so look at the source before you plan a big job around one.

Free bank statement converters, side by side

"Free" means four different things below: free forever, free if you already pay for the software, free to try but not to export, and free up to a size limit. The second column says which.

Start with what your bank already gives you

Converting a PDF is a workaround for a file the bank won't hand you any more. If the months you need are still inside the bank's transaction history, download the CSV or QBO/QFX file from online banking instead: it comes from the bank's own records, so there's nothing to extract and nothing to check line by line.

How far back that goes varies a lot by bank and account type, and business accounts often differ from personal ones. Our bank pages list each bank's published download and statement windows: Chase, Bank of America, Wells Fargo, Capital One, U.S. Bank, Citibank, PNC, Truist, Navy Federal and Citizens.

A PDF converter is the right tool when the dates are older than that window, the account is closed, a client only sent PDFs, or you need a format the bank doesn't offer (an IIF for QuickBooks Desktop, say).

Which free option fits your statement

  • The books are in QuickBooks Online: try Upload from file first. It takes scans and photos too, and it's already paid for. Walkthrough: upload a PDF bank statement to QuickBooks Online.
  • The books are in Xero (US or Canada): use Import a Statement with the PDF, and fall back to a converter only for the lines Xero rejects. Our Xero converters comparison covers both.
  • You want a spreadsheet and have Microsoft 365 on a Windows PC: Excel's From PDF works well on clean, single-table statements. Budget time to fix rows that wrap.
  • The statements must not be uploaded anywhere: Tabula runs entirely on your computer. Expect to select the table on each page and tidy the CSV afterwards.
  • You need a file for QuickBooks Desktop: none of the free-forever options writes IIF or QBO. Utilly converts CSV, Excel, OFX and QIF files of up to 100 transactions to IIF or QBO free (CSV to IIF, CSV to QBO), so an Excel From PDF or Tabula export can finish the job.
  • The statement is a scan or a phone photo: Excel, Tabula and Utilly can't read it. QuickBooks Online's upload, Xero's import, or a DocuClipper or ProperConvert trial can, with the limits in the table.

The real cost of "free": cleanup and checking

General PDF table tools see a statement as boxes of text. They don't know which rows are transactions, which number is the running balance, or that a description carried onto a second line belongs to the row above. The usual fixes after a free conversion:

  • Delete page headers, "continued" lines and the summary box that got pulled in as rows.
  • Join descriptions split over two lines, so each transaction has a single row.
  • Combine separate Debit and Credit columns into one signed Amount (or the other way round, for software that wants two).
  • Turn dates and amounts stored as text into real dates and numbers, and add the year if the statement prints only month and day.

Then prove nothing was lost: opening balance + money in − money out has to equal the statement's closing balance, to the cent. A gap the size of one transaction means a missing row; twice a transaction means a flipped sign. Paste the CSV into our free bank statement balance checker (it runs in your browser and uploads nothing) to get the answer and a hint at the cause.

Before you upload a statement to a free website

A bank statement shows your name, address, account number and every payment you made. Before handing one to a free site, look for answers to these on the site itself:

  • Who runs it? A company name, a contact address and a privacy policy you can read.
  • How long is the file kept, and is that stated in hours or days rather than "as long as needed"?
  • Is the data used for anything else, such as training models or selling leads?
  • Does it ask for your bank login? A statement converter never needs it.

If those answers aren't on the site, use a tool that runs on your own computer (Tabula, Excel) or the import built into your accounting software. For reference, Utilly processes files in memory, deletes them after an hour, and never asks for a bank login; see our privacy policy.

When paying is cheaper than free

Free is easy to justify for one statement. It gets expensive in hours on a catch-up: twelve months of a client's checking account at 20 or 30 minutes of cleanup each is most of a working day, before anyone checks the totals. At that point a converter that balances each statement for you usually costs less than the time. Utilly's paid option is a one-time $9 for 5 statements; our QuickBooks converters comparison prices the subscription tools for the same job, and the catch-up bookkeeping guide covers the workflow.

What Utilly gives you without paying

  • PDF statements: upload, and the preview reads the whole statement, checks it against the opening and closing balance and shows the first 5 transactions. No sign-up. A full download is 1 credit.
  • Files that are already data: CSV, Excel, OFX and QIF files of up to 100 transactions convert free to QBO, IIF, QIF, OFX or Xero CSV, with no watermark.
  • Receipts: batches of up to 3 receipts or invoices to CSV, Excel or a QuickBooks/Xero bill file are free (receipt to CSV).
  • Reconciliation: the bank reconciliation tool shows its summary of what doesn't match free; the full report is paid. There's also a free reconciliation template for Excel.
  • Checkers, free with no limit: statement balance checker, IIF file checker and QuickBooks Online CSV checker, all in your browser.
  • Not free, or not done: full PDF statement downloads (1 credit each from a $9 pack of 5, or Pro at $19/month); scanned statements, which we don't read; QFX files. Try it on a sample statement first if you'd rather not upload your own.

FAQ

What is the best free bank statement converter?

For recent months, your bank's own CSV or QBO download: it's free and comes from the bank's records. For PDF statements, use the import built into your software if it has one (QuickBooks Online's Upload from file, or Xero's PDF import in the US and Canada). For a spreadsheet, Excel's From PDF on Microsoft 365 for Windows or the open-source Tabula are free with no limit, but you clean up the table and check the totals yourself.

Is there a completely free bank statement converter with no limits?

Tabula is free, open source and has no page limit, and Excel's From PDF has no limit if you already have Microsoft 365 on Windows. Both read text-based PDFs only, don't know which rows are transactions, and leave the cleanup to you. Most web converters that call themselves free cap pages, statements or rows, or let you preview but not export.

Is DocuClipper free?

DocuClipper has a 14-day free trial of up to 120 pages with no card. Its pricing FAQ says the trial shows every extracted transaction, and that you upgrade when you're ready to export or sync to QuickBooks or Xero. Paid plans start at $29 a month. Checked October 27, 2026.

Can I convert a scanned bank statement for free?

QuickBooks Online's Upload from file accepts scans and photos (PDF, JPG, PNG, HEIC) for QuickBooks Online companies, and Xero's PDF import takes scans of at least 200 DPI in the US and Canada. Excel's From PDF, Tabula, Adobe's free online converter and Utilly read text-based PDFs only. DocuClipper's and ProperConvert's trials read scans, within their trial limits.

Is it safe to upload a bank statement to a free converter?

Only if the site tells you who runs it, how long it keeps your file and whether the data is used for anything else, and it never asks for your bank login. If you can't find those answers, use a tool that runs on your own computer (Tabula or Excel) or your accounting software's own import.

What's free on Utilly?

The PDF preview (full balance check plus the first 5 transactions, no sign-up), converting CSV, Excel, OFX and QIF files of up to 100 transactions to QBO, IIF, QIF, OFX or Xero CSV, receipt batches of up to 3, the reconciliation summary, and the balance, IIF and QuickBooks CSV checkers. A full PDF statement download uses 1 credit from a one-time $9 pack of 5.

How do I check a free conversion didn't miss anything?

Opening balance plus deposits minus withdrawals must equal the closing balance on the statement, to the cent. If it's off by exactly one transaction, a row is missing; by twice one, a sign is flipped. Utilly's free balance checker does the sum in your browser for any CSV.
